We may use aggregated or de-identified information to understand and improve the service, provided that the information cannot reasonably be used to identify an individual.
4. Our legal reasons for processing information
Depending on where you live and the circumstances, we process personal information based on one or more of the following:
- Your consent
- The need to provide a service you requested
- The need to perform a contract with you
- Our legitimate interests in operating, securing, evaluating, and improving askSpeech where those interests are not overridden by applicable privacy rights
- Compliance with legal obligations
- Protection of our rights or the rights and safety of others
You may withdraw consent where processing is based on consent. Withdrawal does not affect processing that occurred before consent was withdrawn and may prevent us from continuing to provide some features.
Withdrawal or deletion requests may not reverse information already de-identified, aggregated, included in completed evaluations or training processes, or incorporated into derived systems where removal is not reasonably or technically possible, subject to applicable law.
5. Artificial-intelligence processing
askSpeech uses third-party artificial-intelligence providers to generate and review analyses. Our primary artificial-intelligence provider is OpenAI, and we may use additional providers for transcript processing, classification, analysis, quality control, safety, or support functions.
Information sent to an artificial-intelligence provider may include:
- The submitted transcript, speech content, or relevant excerpts
- Submitted links and metadata accessible through those links
- Your prompts, instructions, and requested analysis settings
- Speech type, audience context, and internal evaluation criteria
- Generated drafts, reports, quotations, classifications, and scores
- Feedback and quality-control results
- Limited technical identifiers and usage information required to process, secure, and evaluate the request
We may enable OpenAI data-sharing settings for selected API projects. When enabled, eligible API inputs and outputs may be shared with OpenAI and used to identify usage patterns, measure model quality, improve future model evaluations and training, and improve OpenAI services and models.
Other artificial-intelligence providers may process or use information according to the settings, agreements, and policies that apply to our use of their services. We will update this Policy or provide additional notice when a material change requires it.
Artificial-intelligence providers may retain prompts, responses, and related data for service operation, safety, abuse detection, quality evaluation, model improvement, training, legal compliance, or other disclosed purposes. Authorized personnel may review content in limited circumstances, including quality evaluation, suspected misuse, safety-filter triggers, technical incidents, or legal requirements.
Deleting content from askSpeech may not cause a provider to remove information already included in de-identified datasets, completed evaluation or training processes, or derived models where removal is not reasonably or technically possible.
Do not submit confidential, proprietary, or highly sensitive information unless it is necessary for your analysis and you have authority to permit all processing described in this Policy.

- To investigate fraud, security incidents, abuse, or violations of our Terms
- To protect the rights, safety, and property of askSpeech, our users, or others

Third-party processors may maintain their own retention periods for service operation, security, abuse monitoring, quality evaluation, model improvement, training, backups, and legal compliance.
Information used in completed artificial-intelligence evaluation or training processes may no longer be stored in a form that can be linked to a particular askSpeech account or removed from a derived model. Provider-specific retention and deletion practices apply.
We may retain de-identified or aggregated information that no longer reasonably identifies you.

Depending on where you live, you may have the right to:

Some information may not be deleted immediately when retention is required for legal compliance, billing, fraud prevention, security, dispute resolution, or the protection of legal rights.
Withdrawal of consent or deletion applies prospectively and does not reverse processing already completed by askSpeech or a service provider. It may not remove information already de-identified, aggregated, incorporated into completed evaluation or training processes, or reflected in derived systems where removal is not reasonably or technically possible.
You may unsubscribe from promotional emails using the unsubscribe link in the email. You may still receive necessary account, billing, security, and service communications.
10. Information about other people
A transcript or speech may contain personal information about people who do not use askSpeech.
When you submit information about another person, you confirm that you have the legal authority or another lawful basis to submit the information and permit the processing, disclosure, service improvement, model evaluation, and model-training uses described in this Policy.
Where appropriate, you are responsible for notifying that person about the processing.

13. Children
askSpeech is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.
If you believe a child under 13 has provided personal information, contact us at support@clascity.com.
