We will not use the private contents of your speeches or reports in public marketing materials without your express permission.

We will not use your User Content to train a general-purpose artificial-intelligence model unless we first clearly disclose that use and obtain any consent required by law.

We may use aggregated or de-identified information to understand and improve the service, provided that the information cannot reasonably be used to identify an individual.

4. Our legal reasons for processing information

Depending on where you live and the circumstances, we process personal information based on one or more of the following:

  • Your consent
  • The need to provide a service you requested
  • The need to perform a contract with you
  • Our legitimate interests in operating, securing, and improving askSpeech
  • Compliance with legal obligations
  • Protection of our rights or the rights and safety of others

You may withdraw consent where processing is based on consent. Withdrawal does not affect processing that occurred before consent was withdrawn and may prevent us from continuing to provide some features.

5. Artificial-intelligence processing

askSpeech uses third-party artificial-intelligence providers to generate analyses.

Our primary provider at launch is expected to be Google Gemini, accessed through a Cloud project with active billing.

We may also use OpenAI or another provider for certain classification, analysis, quality-control, safety, or support functions.

Information sent to an AI provider may include:

  • The submitted transcript or relevant excerpts
  • Your analysis instructions
  • Speech type and audience context
  • Internal evaluation criteria
  • Generated drafts, reports, and scores
  • Limited technical identifiers required to process the request

We configure production AI services to avoid permitting customer content to be used for training general-purpose models where the provider offers that option.

AI providers may temporarily retain prompts and responses for security, abuse detection, legal compliance, and service operation according to their contracts, settings, and policies.

Authorized personnel at a provider may review content in limited circumstances, such as investigating suspected misuse, safety-filter triggers, technical incidents, or legal requirements.

Do not submit confidential or highly sensitive information unless it is necessary for your analysis and you have authority to do so.

6. When we disclose information

We may disclose information to service providers that help us operate askSpeech, including providers of:

  • Cloud hosting and data storage
  • Artificial intelligence and machine learning
  • Transcript retrieval and processing
  • Authentication
  • Payment processing
  • Email delivery
  • Customer support
  • Application monitoring
  • Analytics
  • Security and fraud prevention
  • Database backup and infrastructure

These providers may process information only for authorized purposes and subject to applicable contractual or legal protections.

We may also disclose information:

  • When required by law, court order, or lawful government request
  • To investigate fraud, security incidents, abuse, or violations of our Terms
  • To protect the rights, safety, and property of askSpeech, our users, or others
  • In connection with a merger, financing, restructuring, acquisition, sale, or transfer of all or part of our business
  • With your direction or consent

We do not sell personal information for money.

We do not share personal information for cross-context behavioural advertising unless this Policy and any required consent mechanism clearly state otherwise.

7. International processing

askSpeech is operated from Canada, but some service providers may process or store information in the United States or other countries.

As a result, personal information may be subject to the laws of those countries and may be accessible to courts, governments, law-enforcement agencies, or national-security authorities where permitted by applicable law.

We assess our providers and use contractual, technical, and organizational protections appropriate to the nature of the information and the service.

8. Retention

We retain information only for as long as reasonably necessary for the purposes described in this Policy.

Our intended retention practices are:

  • Account information is retained while your account remains active

  • Billing and tax records are retained for the period required by applicable financial and tax laws
  • Information related to fraud, abuse, disputes, or legal claims may be retained for as long as reasonably necessary to address the matter

Third-party processors may maintain their own limited retention periods for security, abuse monitoring, backups, and legal compliance.

We may retain de-identified or aggregated information that no longer identifies you.

You may unsubscribe from promotional emails using the unsubscribe link in the email. You may still receive necessary account, billing, security, and service communications.

10. Information about other people

A transcript or speech may contain personal information about people who do not use askSpeech.

When you submit information about another person, you confirm that you have the legal authority or another lawful basis to submit and process that information.

Where appropriate, you are responsible for notifying that person about the processing.

We do not use the people mentioned in a submitted speech to create advertising profiles or contact them.

12. Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information.

These may include:

  • Encryption during transmission
  • Encryption at rest where appropriate
  • Restricted employee and contractor access
  • Authentication and access controls
  • Logging and monitoring
  • Secure hosting providers
  • Backup and recovery procedures
  • Software updates and vulnerability management
  • Incident-response procedures

No system is completely secure. We cannot guarantee that unauthorized access, disclosure, alteration, loss, or misuse will never occur.

If we discover a breach that creates a legally reportable risk, we will notify affected individuals and regulators as required by applicable law.

13. Children

askSpeech is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.

If you believe a child under 13 has provided personal information, contact us at support@clascity.com.

Users who have not reached the age of majority where they live should use askSpeech only with the permission and supervision of a parent or legal guardian.

Do not submit private school records, counselling information, or other sensitive information about a minor unless you are authorized to do so and the submission is lawful.

14. Third-party websites and platforms

askSpeech may contain links to YouTube and other third-party services.

Their privacy practices are governed by their own policies, not this Privacy Policy.

We are not responsible for the privacy, availability, security, or content practices of third-party websites or platforms.

15. Automated analysis

askSpeech automatically generates feedback and scores based on submitted speech content.

These results are intended as advisory feedback. They are not used by askSpeech to make decisions about your employment, education, credit, housing, insurance, legal rights, or access to essential services.

You should not use an askSpeech score as the sole basis for making a high-impact decision about another person.

16. Changes to this Policy

We may update this Privacy Policy to reflect changes to our service, providers, legal obligations, or information practices.

We will post the updated version and revise the effective date.

If a change materially affects how we use previously collected personal information, we will provide additional notice or request consent where required.
